Minutes of IAAD member meeting in Orlando

IAAD Members Meeting Orlando, Sept 11th 2015

Room Zander, Renaissance Hotel

Minutes

Begin: 12:45

End: 13:25

Attendance: See enclosed list with signatures.

The meeting was conducted by the President, J.-F. Roulet

Opening remarks: The members were invited by email on July 18th 2015. According to IAAD’s constitution the quorum is 10 % of the members. Since we have 108 members the quorum is 11. There are 20 members present, the meeting is able to take decisions.

  1. Report of the President about past activities (Roulet)
  2. Securing Membership
After the founding meeting on June 14th 2013 we had a list of 76 founding members and one of 48 people interested in becoming a member. As a first step in cooperation with the secretary we contacted every member by email to ask for their postal address and which membership fee they would like to have. The secretary produced an excel list to keep track of our members. Parallel to this Alireza Sadr set up a mode of payment in the homepage of IAAD using PayPal. Then we could send out the membership invoices to the members for 2014. Based on this, at the end of 2014 we could report 100 members in good status, which we had sent a membership diploma by email. The work was done by a student of JFR via email.

Without specific actions we increased our member number since July 2013 by 32, putting our members to 108. However not all of them are confirmed, since we are still in the process of collecting and reminding the membership fees for 2015. The membership diplomas 2015 have not been sent out yet.

Registration, Bank account
Right after the Founding meeting, the minutes were produced by a coworker of M. Blatz and used by the Secretary to register the IAAD in Switzerland, using his office address as the official address of the IAAD. It was not easy to obtain a bank account, which we finally obtained at the UBS, the largest bank in Switzerland, due to the good connections of our Secretary to this bank. Due to the constitution of IAAD money can only be spent with dual signatures. Therefore the President (JFR) had to show up in person at the UBS office in Switzerland for identification and signature. This was done in combination with a trip of JFR to Switzerland, due to other reasons in order to keep expenses minimal. JFR has initially granted a loan of 5000 CHF to IAAD, so the Academy could function initially. This loan has been paid back on 07.07.2015.

Since the Issue # 4-2013 the IAD is the official Journal of the IAAD.

Board

The board members were contacted initially by mail by the president to ask them their SKYPE address or encourage them to join SKYPE on June 18th 2013. However, the response was minimal, which is the main reason, why the board formally never met until this meeting. As a consequence, the IAAD was run by bilateral phone calls and email exchanges between the President and M. Blatz (President Elect, M. Tomic (Secretary), M. Özcan (Member, produced most WIs), and U. Blunck (Treasurer).

Homepage

Shortly after the Founding Meeting Alireza Sadr has set up a homepage under www.adhesivedentistry.org. In collaboration with the President he has set up an attractive design and linked the homepage with JAD. The IAAD pages in JAD, former editorials and the JAD abstracts appear on our home page. It has a general section, a section for dentists, a section for patients and one password protected one for members. Then we asked our board members to contribute with slides describing info about adhesive dentistry and demonstrating with patient cases the potential of adhesive dentistry. However this campaign was not very successful, there were only a few contributors. We need to find a mechanism to encourage members to contribute to the webpage, because if a webpage stays static, potential users will not visit it anymore. A competition for the best case, sponsored by a company could activate this part of the website. Besides this, we should think of other mechanisms to improve the website.

We have also put the initial program, the advanced program, the call for abstracts and all the thinkable information about the Orlando Meeting on the website.

Letters to Members

Since August 2013 the President has written every second month a Newsletter for the IAAD members (total of: 12) which appeared in the JAD and was posted on the IAAD website. For the last year we have mainly used it to promote the Orlando meeting.

Cooperation with IAD and ABD

IAD: Shortly after the IAD Meeting in Philadelphia, JFR got into touch by email with Prof. C Harnirattisani, the President of IAD Bangkok. After a longer correspondence we agreed that IAAD should have one Session at the IAD in Bangkok called “Adhesive Dentistry - from the practice for the practice”. JFR attended the meeting and chaired the session on February 1st 2015, where Dr. Hien Ngo (Kuwait) and Dr. Michael Bergler (Philadelphia) each presented a lecture, which were a great success. During this meeting JFR had a talk with J. Tagami. JFR, considering being him the “father of IAD”, let him know, that IAAD would like to cooperate with IAD and asked who would be the cooperation partner. J. Tagami referred JFR to the Turkish colleagues, which are supposed to organize the 7th IAD in Istanbul in May or June 2017. JFR told them on site that IAAD would like to participate in a similar way as in Bangkok to the 7th IAD. We agreed that they would contact JFR by email as soon as the date is confirmed. So far nothing has happened. JFR has tried to find out via google anything about the IAD 2017, without any hit.

ABD: JFR was invited to present at the ABD Meeting in Los Angeles the Lecture “The Founding of IAAD”, which took place on Oct 18th 2014.

IAAD offered 4 Executive Committee Members of ABD a special rate for attending the Orlando Meeting. Furthermore we agreed on a discount for all ABD members to attend the Orlando Meeting. We were offered the same conditions for IAAD members at the ABD meeting in Philadelphia on October 15 – 17 2015.

Status of 1st biennial meeting

Between the President and the President Elect it was decided to partner with Quintessence for organizing the 1st biennial meeting of the IAD and to have it in Orlando in 2015 as required by the IAAD Constitution. A respective contract was signed after the approval of the board members that had responded to the request. Quintessence picked up Sept 10 -12 as the best option for the date of the meeting and we obtained the Renaissance Sea World Hotel in Orlando as the congress hotel.

Silas Duarte and Jin-Ho Phark put together an excellent program with a multitude of international speakers. It speaks for the IAAD that NO ONE of the invited speakers declined. They even changed commitments to be able to join our Orlando Meeting. Quintessence then started a campaign to recruit sponsors and participants. Unfortunately, both campaigns were not very successful. Despite our efforts in our distributors (home page and JAD) by August 18th 2015 we had only approximately 100 participants. It was a wise decision to call for posters and then to let all US Dental Schools know about this. It brought us 42 participants! Jin-Ho Phark has done an excellent job in organizing the poster session in cooperation with Quintessence. The abstracts of the posters will be published in JAD #6 2015 and will thus be quotable.

To increase the participant number we offered UF College of Dentistry Faculty a participation to student’s rate, if they stay at the congress hotel, which brought us 6 more participants. The same was offered to the Faculty of the Department of Preventive and Restorative Sciences
Robert Schattner Center, University of Pennsylvania, School of Dental Medicine, Philadelphia. In the last days before the meeting we offered free attendance to the students of the above mentioned institutions.

Quintessence reported 125 participants.

  1. Report of the Web Master (Sadr)

IAAD homepage https://adhesivedentistry.org came into existence in 2013. So far we have had around 20,000 visits in total.  We have secured a good search engine ranking for basic related keywords. In order to attract more visitors, we need to improve the contents of our homepage. I would like to ask our member to contribute more photos and short descriptions for their adhesive dentistry clinical cases to IAAD homepage. This will be an effective way to introduce our academy to everyone. The website is based on open source wordpress platform, but we are constantly improving it as our academy grow. In order to keep the costs at the lowest possible level and support IAAD, I have volunteered to do everything including design, database maintenance and Paypal integration using open and free resources. The newest feature on the IAAD website includes automatic generation of membership fees payment receipt. We are also working on generation of membership certificate as PDF.  Moreover, we expect a Wikipedia-style glossary of adhesive dentistry terms on the homepage. IAAD clinical working instructions (that I have personally found to be extremely helpful) are accessible only for our members now.  In total, the IT cost for our academy has been under 1,000 USD so far. Paypal is a safe and convenient way to collect membership fees; however, it is not a cheap way. The money transferred to IAAD bank account has been subject to deduction of Paypal fees (4 - 5%) and inevitable currency exchange fees that constantly fluctuates. I would like to thank each and every member of the academy for their support. If you have any questions or comments regarding any aspects of our academy website, please let me know. Thanks to the sponsors' support, the first IAAD meeting is a success from many aspects in my opinion. Now, the sustainability of IAAD now depends on its members' continued support, participation and feedback.

  1. Report of the Secretary General (Tomic) READ by JFR

Honored to be the Founding Secretary of this wonderful starting-up academy my mean work in the last 2 years was to establish - with the huge and thankful support of the IAAD president Jean-Francois Roulet and our webmaster and board committee member Alireza Sadr - a legal, administrative and financial structure to the IAAD which will be the base to develop more and more the academy in the next years.

It was satisfying and heart warming to see my colleagues working together with passion over 3 time zones and around 20'000 miles between us.

Today I can confirm - after surviving some children diseases as in each new founded association or company  - that the IAAD is a well organized and financially stable international academy with more than 100 active members.

My wish is that in the near future the IAAD will be - but only with your active contribution - a leading academy in the dental world - an "adhesive think tank" - to prepare innovative concepts and an important network for the next generation of passionate dentists.

Thank you very much for your support in the last 2 years!

  1. Report of the Treasurer (U. Blunck)

The financial status of the IAAD is stable:

We started with an interest-free loan by Prof Roulet of 5,000.00 CHF on 26.08.13, which was paid back an 07.07.2015. The actual number of members is 108 resulting in paid membership fees of a total of 24,871.71 CHF.

The expenses so far were the subscription for JAD, travel expenses for Dr. Roulet and bank fees with a total of 9,068.18 CHF. This results in the balance of our bank account at the UBS Switzerland AG on 07.07.2015 of 15,803.53 CHF, which is equivalent to 14,470.94 € or 16,172.26 US$. We also have a balance of around 4,200 CHF in the PayPal account.

  1. Report of Auditor David Roque MBA

September 9, 2015

MEMO TO:          Dr. Med Dent, Jean-François Roulet

FROM:                  David Roque, Assistant Director

                                Restorative Dental Sciences Department

SUBJECT:             UBS Switzerland AG – Account Statement Review

I had the opportunity to review the above subject bank statement for the period ended 24 July 2015, and found that the same appear to be in order, only showing a very small variance.  This variance is most likely due to the manner in which transactions are recorded.

Beyond the statement date, and through August 31st 2015, 108 memberships in the amount of CHF150.00 each, for a total of CHF 16,200.00 had been received.  Of this amount a payment in the amount of CHF 1,695.40 to cover airfare was made on April 21st 2015. This leaves an approximate projected account balance, not including other bank required deductions, of CHF 14,504.60.

  1. Dues

The original plan was to have a yearly membership fee of 300 CHF, including the subscription of JAD, which per se costs almost 300 CHF. This would make the membership of IAAD attractive. Furthermore it was planned that Quintessence would invoice the IAAD for the JAD of the IAAD members. However based on the accepted motion of G. Schmalz at the founding meeting IAAD must give the choice of subscription with or without JAD for 300 CHF, respectively 150 CHF. But these two membership rates has created a substantial amount of work and confusion. The coordination between Quintessence which must send the journal to members and IAAD, problems with addresses, delays between becoming a member, paying the dues and delivery of JAD etc. just to name a few. Proposal for new modality of dues to be voted on by the members:

Annual dues for IAAD: 150 CHF. Independently, if JAD is subscribed or not. Upon presenting the membership certificate, downloadable from homepage, to Quintessence, Quintessence will sell the JAD to IAAD members at a special rate of approx. 150 CHF. Quintessence will directly invoice the members and deliver the journal. (This procedure has the approval of Quintessence).

Pay dues EXCLUSIVELY through IAAD homepage and PayPal please.

VOTE: unanimous.

Motion: For students who provide an attest of immatriculation of their university the dues are 50 CHF (including the option for special price of JAD granted by Quintessence upon presentation of membership certificate.)

VOTE: unanimous

Dr Özcan asked, that if one member brings in a large number of students, the fee could be even lower. The answer to this is, that it can be negotiated between the President and the member-bringer.
