The International Academy of Adhesive Dentistry (IAAD) and Academia Italiana di Odontoiatria Conservativa e Restaurativa (AIC) will host a joint Meeting in Bologna, Italy from May 9th to May 11th, 2019. All individuals (IAAD and IAC members and non-members) involved in adhesive dentistry and related fields are invited to submit an abstract for consideration for presentation at the IAAD/AIC poster session.

The poster session is open to everyone in all categories, including clinical reports, clinical research, and laboratory research. The additional poster competition in the same categories will host three awards, but will be limited to students or residents, and young researchers or clinicians (within 5 years after their last degree). Eligible individuals are encouraged to compete for one of the awards and can sign up for it during the submission process. (see Abstract rules and guidelines; IAAD/AIC Poster Competition Awards)

Abstract rules and guidelines

  1. Individuals may present only one abstract but can co-author multiple abstracts.
  2. You must receive the approval of all co-authors before putting their names on the abstract.
  3. Projects being submitted must be original research.
  4. Submitters may NOT split one study into several papers, as they may be asked to combine for review.
  5. Previously published abstracts (in print or electronically) or those presented at another meeting are not allowed.
  6. Authors of presentations later proven to contain previously published material will be sanctioned and may be prohibited from presenting at future meetings.
  7. Presenter must disclose any personal or co-author potential conflict of interest.
  8. Abstracts must be submitted via the online abstract submission site (http://manuscriptmanager.net/iaad until the deadline (see the dates above). Faxes, photocopies, emailed copies, or submissions after the deadline will not be reviewed.
  9. Abstracts are reviewed as submitted by the abstract deadline  in the table above.
  10. Presenters must be pre-registered by March 15th, 2019; During registration, an abstract submission fee of €50 will have to be paid upon registration as well. Otherwise their abstract will be automatically withdrawn.
  11. If a presenter of an accepted abstract is unable to present, he/she can be substituted only by one of the co-authors, who has registered for the meeting and is not already presenting another abstract. Notice about the presenter change must be given to the IAAD/AIC Poster session committee prior to the meeting.
  12. If submitted in any of the award categories: Each abstract can be entered for only one award. Abstracts cannot be submitted in multiple categories to be entered for other awards. Students or residents must provide proof of their status. Clinicians and young scientists must provide a copy of their last degree or proof of their status, which can be uploaded during the abstract submission process.

 

 

 

How to submit an abstract

Abstracts for poster presentations/competition must be submitted via the online submission system http://www.manuscriptmanager.net/iaad until the deadline. Check for typographical and grammatical errors. They must be written in English and contain the following elements:

  1. Title: Abstract titles are limited to 10 words or less. Capitalize the first letter of each word unless it is a preposition or article.
  2. Authors: Enter first (given) name, last (family/surname) name for each author plus institution/affiliation (department/branch should be omitted), contact information, and email address of the presenter. One person must be identified as the presenting author. IAAD/AIC will correspond only with the presenting author, regardless how many co-authors are listed.
  3. Abstract text: All abstracts should not exceed 300 words (title and author information excluded). Do not add references. Additionally, short and concise tables and images (no more than 1 or 2) can be submitted if they are integral to the abstract. Each abstract must contain following components:
  • Objective: briefly state the objective(s) of the study
  • Methods: describe the experimental methods used
  • Results: list essential results, including data and, where appropriate, statistics
  • Conclusion: briefly state the conclusion(s) of the study
  1. Funding/conflict of interest: List outside funding sources by entering the funding agency/grant numbers. Any conflict of interest must be disclosed.
  2. Keywords: All abstract submissions must list at least two keywords. Up to 5 keywords are allowed. They should be selected from Medical Subject Headings (MeSH) http://www.nlm.nih.gov/mesh/MBrowser.html
  3. Category: Indicate the category of your abstract: clinical report, clinical research, laboratory research.
  4. Awards: If you would like to compete for an award and are eligible for it, please make sure to select your applicable category (Student Scientist or Junior Scientist). You can select only one award per abstract. For details about the categories and eligibility see section IAAD/AIC Poster Competition Awards below.

You will receive a confirmation email from the system after successful submission of your abstract. This email does not mean that your abstract was accepted for the meeting. After review of your abstract by the IAAD/AIC poster session committee you will receive an email by February 28th, 2019 if your abstract was accepted.

 

 

IAAD Poster Licensing Policy

By submitting an abstract to the IAAD, and in consideration for the opportunity to be included in the IAAD’s presentations, the author of the abstract hereby provides to the IAAD a non-exclusive, irrevocable, worldwide, royalty-free license to use the abstract in IAAD publications and materials. To the extent that the IAAD incorporates an abstract in a collection or compilation of materials, including but not limited to any publication of meeting abstracts or an online, searchable collection of abstracts, the author acknowledges and agrees that the IAAD shall own all rights, title and interest in and to such collections and compilations including any copyrights to said collections and compilations.

 

IAAD/AIC Poster Competition Awards

If you are a student or a resident (category Student Scientist), or if you are a young clinician (category Clinician) or a researcher (within 5 years after your last degree = category Junior Scientist) you can compete for one of the IAAD/AIC 2019 Poster Competition Awards. All abstracts ranging from clinical reports to clinical/laboratory research are welcome in this competition.

IAAD/AIC will host one award in the category Student Scientist, a second award in the category Junior Scientist, and a third award in the category Clinician (see eligibility below). Please indicate during submission, which category you would like to compete in. Each abstract can be entered for only one award.

If you have not indicated your participation in any of those three categories during submission, you will not compete for any award.

 

Eligibility:

To be eligible for the Student Scientist category, you must be enrolled as a student or resident in a high-school, undergraduate, BDS/DDS, or post-graduate certificate/master program at time of submission. Please submit a copy of your certificate of enrollment.

To be eligible for the Junior Scientist category, you must be enrolled in a PhD program or be a researcher within five years after your last degree at time of submission. Please submit a copy of your certificate of enrollment or state the year of your last degree.

The category Clinician is open to any individual within five years after your last degree at time of submission as well as to students or residents in a high-school, undergraduate, BDS/DDS, post-graduate certificate/master or PhD program at time of submission. Please submit a copy of your certificate of enrollment.

 

The winners in the Student Scientist category will receive the “Presidential IAAD Scientist Award”. The first place winner will be awarded 500 €, the second place winner will be awarded 300 €, and the third place winner will be awarded 200 €.

The winner in the Junior Scientist category will receive the “Fusayama IAAD Scientist Award”. The first place winner will be awarded 500 €, the second place winner will be awarded 300 €, and the third place winner will be awarded 200 €.

The winners in the Clinician category will receive the “IAAD Clinician Award”. The first place winner will be awarded 500 €, the second place winner will be awarded 300 €, and the third place winner will be awarded 200 €.

The winners and awards will be presented to the presenting author during the Award ceremony on May 11th, 2019.

 

Each abstract will be judged by a panel of judges appointed by the IAAD/AIC Poster Competition Chair. During the poster sessions, the judges will review the posters and listen to a brief oral presentation (not longer than 3-4 minutes) of each presenting author. Abstracts that were not accepted for or were not presented during the poster competition, as well as abstracts violating any abstract rules and guidelines will not be considered for an award. The panel reserves the right to withhold an award in the event that there are not sufficient entries (less than three) or the quality of the entries is insufficient.

 

The judging panel will take the following considerations into account for grading of the posters:

  1. originality and design of the investigation;
  2. quality of the data produced;
  3. suitability of the methods of analysis used;
  4. scientific value of the work;
  5. quality of the poster presentation;
  6. demonstrated mastery of the subject.

Guidelines for Poster Presentation

The poster competition and presentations will take place over two days. You will receive your poster board number with the abstract acceptance email. Posters for the first day, must be set-up on Friday, May 10th, 2019 between 8-9 AM on the assigned poster board. Posters for the second day, must be set-up on Saturday, May 11th, 2019 between 8-9 AM on the assigned poster board. On each day, the poster must be displayed throughout the whole day (first day until 6 PM, second day until 2 PM).

Poster presentations are scheduled for the first day (May 10th, 2019) from ?? AM/PM until ?? AM/PM and on the second day (May 11th, 2019) from ?? AM to ?? or longer if necessary. All presenting authors are required to be in front of their poster in person during this time for their presentations to the judging panel or for any questions of the general audience.

Poster Size and Preparation

  1. The size of the poster board is 70 cm in width and 100 cm in height (vertical format). Your poster should stay within the given size of the poster board.
  2. The poster must be written in English and include your poster number, the authors’ information and affiliations.
  3. Font size and type should be appropriate so that the poster can be easily read from a distance of 1 to 2 m.
  4. Funding, financial interest/conflict of interested must be stated on the poster.
  5. Print your poster ahead of time and bring it to the meeting. IAAD/AIC will not be responsible for printing your poster.
  6. Bring your own pins or tape to mount your poster.
  7. Set-up and leave the poster displayed for the entire time of the meeting as indicated above.

 

 

FAQs

  1. Do I need to be a member of IAAD or AIC to submit an abstract? However, you are encouraged to become a member of the IAAD or AIC. You will also receive a reduced registration rate as a member of IAAD or AIC. Your membership must be paid for 2019 in order to be eligible for the reduced member pricing.
  2. How do I know if my abstract was successfully received? You will also receive a confirmation email from the system following successful submission of your abstract. This email does not mean that your abstract was accepted for the meeting. After review of your abstract by the IAAD/AIC poster session committee you will receive an email on February 28th, 2019 if your abstract was accepted.
  3. Is there a word limit imposed on abstract titles? Yes, all abstract titles must be 10 words or less.
  4. Is there a word limit imposed on abstract text? Yes, all abstract text must be composed of 300 words or less.
  5. What is the abstract deadline? See above table
  6. Can I make changes to my abstract text after the deadline? Modifications are not permitted to the abstract text after the deadline under any circumstances. It is very important that you submit an error free abstract text.
  7. If I forget to add an author, can I do so after the abstract deadline? Yes, you can still add an author if necessary, by emailing the IAAD/AIC Poster session chair (phark@usc.edu) no later than February 28th However, please make every attempt to add all authors during the abstract submission process.
  8. Can I submit more than one abstract as an abstract presenter? IAAD/AIC permits authors to submit one abstract only as a presenting author. You may be listed as a co-author on more than one abstract. If you submit more than one abstract as a presenter, you will be asked to delete one of the submissions. If your response is not received, your first submission will be retained and all subsequent s submissions will be automatically deleted and will not be reviewed.
  9. Should I put the abstract title, authors and affiliations in the text of my abstract? These items will be collected separately during the abstract submission process. References are not collected.
  10. Is there a limit on the number of co-authors that I can add to my abstract?
  11. Can I submit previously published or presented work? No, all abstracts must be original research. Abstracts cannot be submitted if the research represented by the abstract will be published and/or presented at any other national or international meeting prior to May 11th, 2019.
  12. Will IAAD/AIC edit my abstract? Once you submit your abstract, it will not be edited in any way for content. Typographical or grammatical errors that appear in your abstract submission will also appear in the final program book. Abstracts may be formatted only to follow IAAD/AIC publication guidelines or requirements.
  13. Do I have to pre-register in order to present my poster? After receiving the acceptance email on February 28th, 2017 you will have until March 15th, 2019 to pre-register for the meeting. Additionally, you will have to pay an abstract submission fee of €50. If you have not pre-registered and/or not paid the abstract submission fee by that date your abstract will be automatically withdrawn and you will not be allowed to present your abstract.
  14. If I am unable to present, can someone else present instead? Yes, however the substituting presenter must be one of the co-authors on the abstract. He or she must register for the meeting and cannot be already a presenter for another abstract at the meeting.
